Project: PROVISION OF THE INFORMATION TECHNOLOGY (IT) QUERY MANAGEMENT WEB-PORTAL SYSTEM TO ASSIST THE PROVINCIAL TREASURY AND MUNICIPALITES IN AUDIT QUERY MANAGEMENT.
Provide an online web portal service, allowing institutions access to all queries raised by and against clients/institutions monitored by Provincial Treasury, to create an evidence bank of all issues raised, for monitoring and management reporting purposes.
The web portal service have the following features:
Municipalities will log audit queries received on a Municipal web portal. Every municipality will have a unique login and will only have access to its own queries.
Users can List and Respond to queries, Report and Query the evidence bank, and have an audit trail of all audit queries raised and related outcomes of those queries.
Users are able to see what the query is and at which stage in the process it is, depending on the user access rights.
Solution is accessible through a web client (i.e. with no client software installed on the official’s hardware, even behind the scenes).
Users have a dashboard of all issues/query, as well as where in the process the issue/query is.
Should be able to group all queries and compile a knowledge bank of responses for the current and prior years.
Users have appropriate authentication and security features to ensure confidentiality of information and are able to automatically send an email to key stakeholders at key updates in the query management process.
Users can automatically send alerts (such as email) to the Provincial Treasury Team for key events including assignment of internal responsible officials, and closure of queries, with timed key processes. Inputs and responses can be accessed via a Municipal Web Portal and the end-user is able to track the incident, viewing all notes/follow up incidences based on access control limitations The queries can be assignable and are re-assignable to officials/Provincial Treasury units based on the nature of the query by the query co-ordination team in the office of the Director: Local Government Accounting.
The platform is an intelligent knowledge bank with Artificial Intelligence managing information, all previous queries raised that have been closed are accessible to identify solutions/resolution thereof in prior years.
All relevant reports to manage and track queries are available with added functionality of customisable reports which cover all Provincial Treasury reporting.
